Cura handover training: 90-minute session plan

Purpose: train the client’s office staff to operate Cura unassisted, and record that each attendee can demonstrate competency in the core tasks (service agreement item 4.7).

Format: hands-on, one trainer, each attendee at their own computer signed in with their own account. The trainer demonstrates each task once on a projector, then attendees repeat it themselves using training data only - no real client or worker details.

Before the session (trainer checklist):

  • Every attendee has a working login at the correct role (Administrator / Provider Admin / Staff Member) - test each sign-in the day before.
  • Organisation Settings are pre-configured: Organization Profile, at least two services in the Services Catalogue, Worker Requirements baseline, and required client documents per funding source.
  • Print or share the quick-reference cheat sheet (quick-reference.md) and the competency checklist (below) - one per attendee.
  • Prepare two sample PDF files for upload exercises (any harmless dummy documents).

0:00-0:10 - Welcome, sign in, navigation, roles

Section titled “0:00-0:10 - Welcome, sign in, navigation, roles”

Talk through: what Cura is, the three roles (Administrator, Provider Admin, Staff Member) and that the sidebar adapts to your role. Show the Soon badge and the “coming soon” page so nobody mistakes it for an error.

Exercise 1 (everyone):

  1. Sign in at the Welcome back screen.
  2. Find your role label at the bottom of the sidebar.
  3. Open the user menu (top right), open My Profile, return to Dashboard.
  4. Click a sidebar item with a Soon badge; click Back to Dashboard.

Walk the admin dashboard: the four stat cards, Quick Actions, Today’s Overview, Compliance / Compliance Alerts, This Month’s Billing. If a Staff Member is present, show their simpler dashboard side by side.

Exercise 2 (everyone):

  1. From Dashboard, click the Active Participants card and confirm it lands on the Clients list. Go back.
  2. Say out loud (or note down) what Requiring Action in Today’s Overview means.

Demonstrate the full add-client wizard once (use a Private client - fewest steps), then the profile tabs and a document upload.

Exercise 3 - add a client (everyone):

  1. Clients → Add Client.
  2. Step 1: choose Private.
  3. Step 2: enter a made-up name (e.g. “Test Client-[your initials]”), a date of birth, and an email or phone. Tick Privacy consent given (Privacy Act 1988).
  4. Private Details: pick one service from the catalogue; under Billing & Payment choose Client themselves.
  5. Review and click Create Client & Private Record.
  6. On Client created, choose Go to client profile.

Exercise 4 - work the profile (everyone):

  1. On the profile, open each tab: Overview, Service & Funding, Monitoring, Documents, Goals.
  2. Documents tab → + Add Document → upload the sample PDF as Document Type Other, named “Training upload”. Confirm the Document uploaded message.
  3. Monitoring tab → record an interaction: Type Phone Call, today’s date, a one-line summary.
  4. Goals tab → add a goal titled “Training goal” with priority Medium.

Stretch (fast finishers): start an NDIS client in the wizard and stop at the NDIS Details step to see the participant number and plan date validation; click ← Back out and abandon it.

Demonstrate: quick add, Start Onboarding with the configuration drawer, the worker’s self-service view (View as … sees), verifying a credential, and the Rostering compliance card flipping to Rosterable.

Exercise 5 - add and onboard a worker (everyone):

  1. Workers → Add Worker → first/last name “Test Worker-[initials]”, Employment Type Casual → Add Worker.
  2. Open the worker’s profile. On the onboarding banner, click Start Onboarding.
  3. In the drawer: pick Role Support Worker, glance at Forms to complete / Credentials to provide, note which items say Blocks roster, leave the deadline at the default, choose Manual - I’ll fill these in with the worker myself, and click Start manual entry.
  4. On one credential item, click Satisfy: enter a made-up reference number, choose Sighted document under “How did you verify this?”, click Satisfy & verify. Confirm Item satisfied.
  5. Find the Rostering compliance card and read out what is still outstanding.

Trainer demo (not hands-on): the digital path - Send onboarding invite, the worker’s welcome page (“Welcome, …”, Get started), an upload submission, and the staff Verify / Request re-submission dialog.

Exercise 6 - create and decide a timesheet:

  1. Timesheets → New Timesheet.
  2. Set a one-week pay period; + Add Row: today’s date, 09:00-15:00, 30 minute break, Rate Type Ordinary, Client None.
  3. Click Submit Timesheet.
  4. (Admins) Open the Pending tab, open a colleague’s submitted timesheet, and Approve it. On a second one, click Reject, type a reason, and Reject Timesheet - show the worker sees Rejected: with the reason.

If attendee accounts are not linked to worker profiles, the New Timesheet page shows “No worker profile”. Link accounts before the session, or run this exercise on the trainer’s machine.

1:18-1:25 - Settings and Account essentials

Section titled “1:18-1:25 - Settings and Account essentials”

Demonstrate (admins follow along): Settings → Organization Profile (where the details live), Team Members → Invite Member (how new staff get access), Services Catalogue (where rates come from), and Appearance (theme - look only, no save).

Exercise 7 (everyone): user menu → My Profile → change your password via Change Password → Update Password. Confirm Password updated.

Answer questions, hand out the cheat sheet, and complete the competency checklist for each attendee. Remind everyone: training records created today (clients “Test Client-…”, workers “Test Worker-…”) will be cleaned up by the administrator after the session.
